Send a Good / Better / Best proposal

Who can do this: Estimator or Sales

Before you begin

Choose the proposal style on the pursuit before anyone drafts the Estimate: Standard (one price for the scope as estimated) or Good / Better / Best (three prices over one Estimate). Your workspace can make Good / Better / Best the default for residential work. Have photos and a short spec ready for each finish choice, because that is what the owner decides from. Know your minimum margin, since each tier shows its gross margin before you send.

Steps

  1. On the pursuit, set Proposal style to Good / Better / Best.
  2. Build the Estimate. For each finish category, price a Good, a Better and a Best grade, and add optional scope the owner may take or decline, such as a deck or a fence. The totals bar shows all-Good, all-Better, all-Best and as-selected prices side by side.
  3. Review every AI-drafted line. Each line the AI drafted is marked for review, and the proposal cannot be sent while any AI line is unreviewed or priced at zero.
  4. Check the margin on each tier against your minimum. If a tier falls below it, you are warned before you send.
  5. Send the proposal. The owner gets an email with a link, and a text too if you use the phone integration and the owner has agreed to texts. Each send is saved as a numbered version that holds its price for 30 days by default; you can change that.
  6. The owner walks the proposal one section at a time in the client portal. For each choice they see a photo, the spec and the price difference, and their total and a count of decisions made update after every tap. Choices save as they go, so they can stop and come back, and a question on any section reaches your team.
  7. Follow progress on the pursuit's activity. You are told when the owner makes selections and when they sign. The owner gets one reminder before a decision is due and one before the proposal expires.
  8. The owner signs. Signing is allowed only when every required decision is confirmed, no choice has gone out of date, the owner holds the current version, and the price on their screen is exactly the current price. The check runs again at the moment they sign. If they signed on paper, record a paper signature instead.

What happens next

The signed PDF is fingerprinted and filed in the project's documents. If a deposit is due at signing, it is raised once, as a draft invoice for you to review. Choices the owner has not made yet become selection sheets. A later change becomes a Change Order priced from the grade the owner accepted. Allowances settle both ways: going over adds, and coming in under is credited back to the owner.

Where the record lives

Every sent version, the owner's selections, reminders and the signature are listed on the pursuit's activity, and the signed PDF is in the project's documents. A signed proposal never changes: its stored PDF is the record.

Troubleshooting

The Send button is refused: an AI-drafted line is still unreviewed, or a line is priced at zero. Review or fix those lines and send again.

The owner can't sign: a required decision is still open, a choice has gone out of date, or the proposal has expired. Check the proposal's activity for open decisions and the version date, then re-send if needed.

Prices changed after the proposal went out: that version is marked out of date and must be re-sent before it can be signed. Re-send it so the owner signs against the current price.
