Product

A construction ERP covering the full project lifecycle for general contractors — estimating, bidding, scheduling, RFIs, submittals, change orders, job cost, certified payroll, quality/safety, documents, and more, in one platform with one data model.

Primarily built for GCs running commercial and public work in the $5M–$100M annual revenue range, though the modules (estimating, scheduling, job cost) work for specialty contractors too. Residential builders get Good / Better / Best proposals the owner decides on from a phone, plus selections and allowances, but the platform's depth — job cost, certified payroll, compliance — is aimed at commercial and public work. It's not built for design-build architects.

It depends on how you set it up. Each workspace picks an accounting mode. In standalone mode Groundwork is the record for everything operational: pay applications and invoices, vendor bills, payments received and made, job cost, and an append-only, hash-chained job-cost ledger. It is not an audit-grade general ledger, so statutory statements and tax filings still go through your accountant. Or connect QuickBooks Online or ERPNext as the general ledger: approved invoices and bills are sent to it (payments too, for QuickBooks), ERPNext reports payment status back, and a chart-of-accounts check files any mismatch in a conflict register for a person to resolve. Full two-way sync, where records entered on either side meet as one, is being built and is not live yet.

Yes — daily reports, photo capture, time clock, and punch list workflows are built for a mobile-first field experience, not a scaled-down version of the desktop app. The time clock, crew sheets and daily diary run on your company's work day in its own time zone, so an afternoon crew sheet never lands on tomorrow's date.

Yes, and this is a real focus area — Davis-Bacon wage floors, certified payroll (WH-347), federal award tracking, EEO-1/VETS-4212 reporting, and Miller Act bonding thresholds are built into the core platform.

It extracts quantities from uploaded plans with a confidence score per line, but requires human review before an estimate can be finalized — it doesn't silently generate numbers you never see checked. Every Estimate line the AI drafts is marked for review, and a proposal cannot be sent while any AI line is unreviewed or priced at zero.

Yes. A Good / Better / Best proposal holds three grades per finish category plus optional scope. The owner walks it section by section in the client portal, sees the photo, spec and price difference for each choice, and their total updates as they tap. It can be signed only when every required decision is confirmed, nothing has gone out of date, and the price on their screen is exactly the current price — the check runs again at the moment they sign. Each sent proposal is a numbered version that holds its price for a set number of days, and the signed PDF is filed in the project's documents.

Groundwork has a built-in document editor for Word, Excel and PowerPoint files. It runs on our own infrastructure, the workspace owner switches it on, and every save is kept as a new version. Google Drive connects per workspace: open a file in Google, and edits made there come back as new versions — if a file changed on both sides, an admin resolves it rather than one side silently overwriting the other. Groundwork keeps the file of record either way. A Microsoft 365 connector is not available yet.

In one place: Settings → Integrations, one card per integration. Background integrations such as ClickUp, Google Drive and the emailed-bills inbox have an On / Paused switch — pausing keeps the settings and everything already synced, and stops the syncing. Tabs and buttons that belong to an integration you have not set up and switched on stay hidden, so the app only shows what you use.

Pricing & Billing

It's public. See the Pricing page for the real monthly plan price and per-user rate on Starter and Professional, plus a calculator for your own headcount. Enterprise is quote-based because it includes custom items (multi-office, dedicated onboarding) that genuinely vary by company — but Starter and Professional never require a sales call just to see a number.

No. Every module included in a plan is available to everyone on that plan at the listed price — no per-module upsells.

Each plan includes a block of internal users in its monthly price; past that you add users at a flat per-user rate and remove them again as your crew size changes, and billing adjusts the same month. Portal users — clients, owners, subs — are never counted.

Cancelling stops the next renewal. You keep full access for the rest of the term you have already paid for — cancel in month eight of an annual plan and you work normally through month twelve. When the term ends, access ends, and we keep your data for 90 days after that. Nothing is deleted in those 90 days, you can ask us for a full export at any point in them, and restarting the subscription brings the workspace back exactly as it was. Export everything yourself in standard formats (CSV, XLSX, PDF, JSON) at any time while the subscription is running.

Multi-seat and multi-office pricing is handled under the Enterprise tier — contact sales with your specific situation.

Data & Ownership

US-based infrastructure by default. See the Security page and Subprocessors list for the current hosting and vendor detail.

Everything — projects, documents, financial records, schedules — in standard formats (CSV, XLSX, PDF, JSON), any time, not a proprietary export that needs Groundwork to read it back.

It stays yours. Export every project, document and record yourself in standard formats at any time while the subscription is running, including the remainder of a term you have cancelled. After the term ends we keep your data for 90 days, during which you can request a full export and nothing is deleted. Restarting within that window restores everything. Nothing is ever held hostage in a proprietary format.

Security & Compliance

Not yet certified — we maintain a self-assessed control-mapping posture against FedRAMP Moderate, CMMC, and the SOC 2 Trust Services Criteria, which is honestly different from a completed third-party audit. See the Security page for what's actually true today.

Financial journal entries use an append-only, hash-chained ledger — postings can't be silently edited, and tampering is structurally detectable, not just logged.

SSO and advanced RBAC are part of the Enterprise plan.

Yes — TLS in transit, provider-managed encryption at rest, with application-level encryption on particularly sensitive fields. Full detail on the Security page.

Migration & Onboarding

Depends what's coming with you. Budgets and cost data import via CSV/XLSX; drawings import as PDF or IFC/DWG. Historical RFI/submittal/document history from another platform's export is more involved — contact us for a concrete assessment before you commit to a migration.

A new project can be running in the platform the same day — creating a project shell, inviting users, and importing a budget takes under an hour. Full historical-data migration from another platform is its own timeline depending on what you're bringing over.
