Invite your first users and set roles
Before you begin
You'll need the email addresses of the people you're inviting and a sense of what role each person needs: Admin, PM, Estimator, Superintendent, Field, or Accounting. You can always change a role later; getting it roughly right up front just saves a first-day permissions headache.
Steps
- Go to Settings → Users from the admin menu.
- Click Invite User and enter their email address.
- Assign a role. Each role maps to a default permission set. Field users, for example, get mobile daily-report and photo access but not financial visibility by default.
- Optionally assign them to specific projects now, or leave it open and assign per-project later as work is scoped.
- Send the invite. They'll get an email with a link to set their password.
What happens next
The invited user shows as Pending until they accept. You can resend an invite or revoke it from the same Users screen at any time before acceptance.
Where the record lives
User accounts and their role history are visible in Settings → Users → Audit Log. Every role change is timestamped with who made it, so a permissions question six months from now has a real answer.
Troubleshooting
Invite email never arrived: check spam first; if it's genuinely missing, resend from the Users screen rather than re-inviting from scratch, which can create a duplicate pending record.
Someone needs access to a specific project but not others: use per-project role assignment rather than changing their global role; a company-wide Estimator role and a single-project Guest assignment can coexist for the same person.
